How to use the Workforce Planner
1 · The basics
- Tap Add person to add a role. On a phone a quick form pops up for the role, name & status; on desktop you can also double-click empty space.
- Drag a box to move it, everything snaps to the grid.
- Double-tap a box (or open its menu → Edit text) to change the role, name & status.
- Select a box and drag its 8 handles to resize. Tap empty space to deselect.
- Clear wipes the whole canvas (undo brings it back). Ctrl+Z / Y undo / redo.
2 · The box menu
- Right-click (PC) or hold down (phone) any box to open its menu.
- Set the status, Filled, Hiring, Replace, Gap or Contractor, each shows a coloured tag.
- The menu also has Edit text, border colour, Duplicate, Add report, Detach, add / remove from a team, and Delete.
- Hiring, Replace & Gap roles feed the Hire roles button under the timeline, which emails them to us.
3 · Connecting boxes
- Tap Add line, then press a box and drag the line onto the box that reports to it, release to connect. Keep drawing as many as you like.
- While Add line is on, every box shows its connection points and can't be resized until you switch it off.
- Tap a line to select it, then drag either end-dot onto a different box or team to re-route it.
- Right-click or hold a line to delete or straighten it.
4 · Teams
- Tap Create team, then drag a box around the roles you want to group, release and give the team a name & colour.
- Right-click or hold a box to add it to or remove it from a team.
- Move or resize a team by its border or header.
- Right-click a team to duplicate, recolour, rename or ungroup it.
- Link a whole team under a leader by drawing a line from the leader onto the team.
5 · Hiring timeline
- Every role marked Hiring, Replace or Gap appears below as a clip on a real calendar, scheduled from today.
- Drag a clip to reschedule it; drag its edges to change how long the hire takes.
- Sequence staggers the roles one after another; Today starts them all now.
- Pinch, scroll or +/− to zoom; tap the Weeks / Months label to fit it to the screen.
6 · Fullscreen, save & export
- Use the fullscreen button (top-right of the canvas) for more room; tap it again to minimise.
- Your plan saves in this browser automatically.
- Under the timeline, download the Timeline, the Plan, or Both as an image, or More for PDF, CSV, email or a share link.
- Fill the company details at the top so they're included in every export.
Private to you. Your plan stays in this browser tab only, is never sent to us, and clears when you close the tab. Use Download or Copy link to keep it.
